This Privacy Policy explains how Eastern Whale LLC ("Eastern Whale," "we," "us," or "our") collects, uses, and protects information through the Eastern Whale Bridge sales portal and customer order portal hosted at easternwhale.com and its subdomains (the "Portal").

1. Information we collect

Information you provide:

• Contact and account details: name, business name, job title, email address, phone number, and login credentials.
• Business details: billing and shipping addresses, tax or resale certificate information, and payment terms.
• Order information: products, quantities, pricing, order history, and communications about orders.
• Files you upload, such as product sheets, images, purchase orders, and certificates.

Information collected automatically:

• Technical data such as IP address, browser type, device information, and pages visited.
• Cookies and similar technologies needed to keep you logged in and keep the Portal secure. We do not use cookies for third-party advertising.

Information from service providers:

• Invoice, customer, and payment status information from our accounting system, Intuit QuickBooks Online.

2. How we use information

We use information to:

• create and manage accounts;
• process, fulfill, and invoice orders;
• coordinate with brands, distributors, retailers, and logistics partners involved in your orders;
• communicate with you about orders, accounts, and service updates;
• keep the Portal secure, prevent fraud, and fix problems;
• comply with legal, tax, and accounting obligations.

3. How we share information

We do not sell personal information. We share it only:

• With service providers who help us run the Portal and our business, including Intuit (QuickBooks Online, for accounting and invoicing), Amazon Web Services (file storage), and DigitalOcean (hosting). They may use the information only to provide services to us.
• With business partners involved in your order, such as the brand, distributor, or carrier, to the extent needed to complete the transaction.
• For legal reasons, when required by law or to protect the rights, property, or safety of Eastern Whale or others.
• In a business transfer, such as a merger, acquisition, or sale of assets, subject to this Policy.

4. QuickBooks Online data

The Portal connects to Eastern Whale's own QuickBooks Online company to create and manage customers, products, and invoices. Data accessed through this connection is used only to operate the Portal and our accounting, is not sold or used for advertising, and is accessed only by authorized systems and personnel.

5. Data security

We use reasonable administrative, technical, and physical safeguards, including encryption of data in transit and at rest, encrypted storage of integration credentials, restricted access to production systems, and private file storage. No system is completely secure, and we cannot guarantee absolute security.

6. Data retention

We keep information for as long as your account is active and as needed to provide services, resolve disputes, and meet legal, tax, and accounting requirements. Order and invoice records are generally kept for at least seven years.

7. Your choices and rights

You may request to access, correct, or delete your personal information, or to close your account, by emailing lam@easternwhale.com. Some information may need to be retained for legal or accounting reasons. Depending on where you are located, you may have additional rights under applicable law, and we will respond to requests as that law requires.

8. Children

The Portal is for business use only and is not directed to anyone under 18. We do not knowingly collect information from children.

9. International users

The Portal is operated in the United States, and information is stored and processed in the United States.

10. Changes to this Policy

We may update this Policy from time to time. We will post the updated version on this page with a new "Last updated" date.
